How to give your whole team AI without the chaos

A practical guide for rolling out AI across a company — access, cost, and safety — without a pile of separate subscriptions.

You've decided your team should use AI. Good. The hard question is how — without ending up with a dozen subscriptions, a mystery bill, and no idea whether anything sensitive is leaking out. Here's a simple way to think about it.

1. Give access once, to everything

Signing people up for individual AI tools doesn't scale. Someone always gets left out, and you end up managing logins forever. Instead, give your team one account that reaches every model. When people can use the best tool for each task from a single place, adoption takes care of itself.

2. Put a ceiling on spend before you need one

AI costs are easy to lose track of because they arrive one tiny request at a time. The fix is boring and effective: set budgets up front.

  • A monthly limit for the whole company.
  • Optional limits per team or per person.
  • A warning email before anyone gets close.

With Roar you can make a limit a hard stop or a gentle heads-up. Either way, the month-end bill is never a surprise.

3. Decide what's allowed to leave the building

Some information should never be sent to an outside AI provider — customer records, anything regulated, secrets. You don't want to rely on everyone remembering that.

Roar can scan requests automatically and, when it spots something sensitive, hide it, block the request, or quietly route it to a private model you control. The policy is set once, by an admin, and it just works for everyone.

4. Keep an eye on it — without babysitting

You don't need to watch every request. You just need to be able to answer "who's using what, and what does it cost?" when someone asks. A single dashboard that shows usage, spend, and any blocked requests is enough to stay confident.

The short version

Give access once, cap the spend, decide what stays private, and keep a simple view of it all. That's a healthy AI rollout — and it's exactly what Roar is built to do. See it for yourself.
